Spread facilities according to the event layout
A single bank of units may not suit a site with several stages, entrances or activity areas. Discuss walking distances and the expected crowd in each zone. Keep routes legible and ensure accessible facilities are reachable from the areas they serve.
Plan for breaks and changing attendance
Use the event timetable to identify likely peaks, including intervals and food-service periods. Multi-day attendance may vary. Share those differences so equipment and service requirements can be reviewed rather than relying on a single total attendance figure.
Reserve a service route
Service vehicles need a safe way to reach equipment when required. Coordinate that route with crowd barriers, vendors, emergency access and security. If servicing cannot occur during public hours, make that constraint clear before the rental is confirmed.
Give the team one operational contact
Nominate someone who knows the site and can respond during setup and use. Agree how issues are reported, who controls restricted areas and when collection can begin. The event’s public closing time may be earlier than the point at which the service route becomes clear.
A few useful answers
Before you request your rental
Should every festival restroom location include handwashing?
Discuss the complete hygiene and access plan with the organiser, venue and provider. Requirements and practical demand depend on the event; do not leave this decision until setup.
