Write down the use before the equipment list
Record the active crew or expected attendees, hours of use, shifts or programme, and bathrooms that will genuinely remain available. Include people who may need accessible facilities. This gives the provider a clearer starting point than an unexplained request for a certain number of cabins.
Check the site from both directions
Walk the user route and the delivery route separately. Users need practical access from the work or event area; vehicles need an entrance, room to manoeuvre and a way to reach the equipment again. Note gates, surface conditions and restrictions that may change after setup.
Separate the dates that matter
List when the property can accept delivery, when facilities must be ready, when use ends and when collection is possible. These may be different dates or windows. Tell the provider who can answer placement questions and who can approve changes.
Review the written arrangement
Check model or features, quantity, servicing, supplies, delivery and collection assumptions. Ask about extensions, date changes and cancellation terms. Keep unresolved items visible; submitting a quote form does not settle them or confirm a reservation.
Keep a contact for the rental period
A site can change after delivery. Nominate someone to report blocked access, increased use or another issue through the provider’s agreed process. Do not move equipment or alter utilities without discussing it with the provider.
